Most of it needs no AI
With all data in one place, much can be automated with plain rules, such as invoice data and reminders. Rules do the same thing every time, cost nothing per question and can be reviewed.
The system does it
Fixed rules without AI. The same thing every time.
- Invoice data when the job is done
- Reminder about a time report
- Warning when a contract expires
- Reconciliation against the quote
The agent does it
Fetches, compares and drafts, with the same permissions as the person it helps.
- Fetches time and materials
- Compares the job with the quote
- Drafts the invoice
- Answers questions about margin
A person decides
Price, approvals, bookings and sending, unless you have decided otherwise.
- Approves invoices
- Decides the price
- Books crews
- Sends to the customer
When this happens, this happens
The job is finished
Invoice data is created from time and materials.
A time report is missing
The system reminds the person on their phone.
A contract nears its end
The owner is told in time, with the contract attached.
A job exceeds the quote
The invoice is held and the deviation goes to a person.
A quote goes unanswered
A reminder is written and waits for approval.
The month ends
The reports are already there. There is only one figure.
Examples. Your rules are decided in the mapping.
All accounting and invoicing can run fully automated
The basis is an accounting instruction built on your auditor's advice and approved by the auditor. It states how each type of event is booked and invoiced, and the system follows it every time.
What the instruction does not cover stops and goes to a person. Everything is logged and can be reviewed, nothing goes live before the approved parallel run, and responsibility for the accounts stays with the company.
Where the rules run out
AI helps when the input is free text, voice or documents, or when someone asks a question nobody has built a report for.
Where AI is used it proposes and people decide. Imported data shows its source. Price, approvals, bookings and sending require a person, unless you have decided otherwise.
In the AI review you get a work map that shows what can run on fixed rules, where AI helps most and where neither should be used, in kronor per year.

Bring the list of your services and what they cost. After the meeting we both know whether an AI review is worth doing.
